How to ask for Google reviews and stay within the rules

Ask every customer for a review shortly after the job is done, send your direct Google review link, and send one reminder at most. Don’t offer anything in exchange, don’t ask only the customers you expect to be happy, and never write or buy reviews.

How do you ask for Google reviews?

  1. Get your review link or QR code from your Google Business Profile (see Google’s tips to get more reviews).
  2. Ask in person at the end of the job, then send the link by text or email the same day.
  3. Keep the request short: thank them, ask for an honest review in one sentence, add the link.
  4. Send one reminder a few days later if they haven’t left a review, then stop.
  5. Reply to every review, positive or negative.

No. Asking customers for honest reviews is allowed, and Google encourages it. What is banned is fake or bought reviews, incentives, review gating, undisclosed insider reviews and pressuring people to remove negative reviews.

When is the best time to ask?

Right after the customer sees the result: when you finish the job, deliver the order or close the ticket. Ask in person if you can, and send the link the same day, while the experience is fresh. Let them post the review on their own device, in their own time.

Template · One reminder, a few days later

Hi {first name}, a quick reminder in case you’d like to leave a review for {business}: {review link}. Thanks either way!

How do you respond to a negative review?

Reply promptly, calmly and in public: thank the customer, acknowledge the problem without arguing, and offer to sort it out directly, with a name and a way to reach you. Never threaten or pressure a reviewer to take a review down.

You can report a review that breaks Google’s policies, such as spam, offensive content or a conflict of interest. A review that is simply negative stays up; a calm, useful reply is the best answer to it.

How do you automate review requests safely?

  1. Trigger the request from a completed job or a paid invoice, so every customer gets it.
  2. Send the same message to everyone, with no filtering by satisfaction score.
  3. Send one reminder at most, and stop when the customer leaves a review or opts out.
  4. Keep a log of what was sent, so you can show your process treats every customer the same.

Review requests are one of the automations in our AI automation service. We set them up for every customer, with no filtering and no rewards.

Quick answers

Can I offer a discount for a Google review?

No. Google’s policy bans offering money, discounts, free goods or services in exchange for a review, even an honest one, and even if you don’t ask for a positive rating.

What is review gating?

Review gating means asking customers how they feel first and sending only the happy ones to Google. Google’s policy bans selectively soliciting positive reviews, so send the same request to every customer.

Can my employees or family leave reviews?

Google’s policy bans reviews written with a conflict of interest, such as reviews of a business by its owner or staff. The FTC rule also restricts insider reviews that don’t disclose the connection.

How many times should I ask?

Once, plus one reminder a few days later at most. More than that tends to annoy customers.
